Ship Certificate & Document Renewal Service

Nautinix tracks the validity of every certificate and document your ship carries — including survey windows and annual endorsements — and renews them before they fall due, so a single overlooked document never keeps your ship in port.

Service Overview

Understanding Ship Document Renewal

Ship document renewal means keeping certificates, ship papers, licences and crew documents valid before they lapse, including the periodic surveys and endorsements they depend on. Not every document has one expiry date. The Pas Besar and Surat Laut, Indonesia’s nationality documents, stay valid while the ship’s particulars are unchanged but must be endorsed by the harbour master every year. Convention certificates such as the Load Line Certificate or IOPP are valid for up to five years, subject to annual or intermediate surveys, and merchant seafarers’ certificates of competency must be revalidated at least every five years under STCW.

Nautinix records all of these dates for each ship, reminds you well before they fall due and handles the renewal, so that when the harbour master checks document validity before issuing port clearance (SPB), nothing has expired.

Documents & Permits Covered

  • An initial audit recording every vessel and crew document: number, issuing authority, issue date, expiry date and survey or endorsement window
  • A validity calendar per ship or per fleet, including the anniversary date of each convention certificate
  • Reminders by WhatsApp or email ahead of each due date, with the requirements for that renewal
  • Annual endorsement of the Pas Besar and Surat Laut
  • Renewal and endorsement of safety and pollution-prevention certificates, and coordination of BKI class surveys
  • Renewal of fishing licences (SIPI, SIKPI) and crew documents such as seafarer’s books and certificates of competency
  • Regular status reports: documents that are in order, due soon or in progress

Ship Document Renewal Requirements

  • Copies of current ship documents: nationality document, tonnage certificate (Surat Ukur), Grosse Akta, safety, class and any convention certificates
  • Copies of business and operating licences, such as the SIUPAL for merchant ships or the SIPI and SIKPI for fishing vessels
  • Copies of crew documents: seafarer’s books, certificates of competency and proficiency, medical certificates and PKL employment agreements
  • Vessel particulars — name, GT, type, trading area, home port — together with the operating schedule and docking plans
  • A contact on your side to approve each renewal and coordinate survey dates
  • A power of attorney to act for the owner or operator, where the issuing authority requires one
Processing Flow

Ship Document Renewal: Process and Timeline

  1. You send copies of vessel and crew documents; we check their validity, expiry dates and survey and endorsement history
  2. We build a validity calendar for each ship, including annual, intermediate and renewal survey windows, and flag anything expired or close to expiry
  3. Ahead of each due date you receive a reminder with the requirements and a cost estimate for the renewal
  4. Once you approve, we prepare the file, schedule any survey around the ship’s operations and submit the renewal to the issuing authority
  5. The renewed document or endorsement is issued, the calendar is updated and we send you a copy
  6. Regular status reports cover every ship we monitor

Estimated Time

Monitoring is an ongoing service. Each renewal takes a different time: an annual endorsement is usually simpler, while certificates that need a survey depend on surveyor availability, the ship’s location and what the survey finds. As an estimate, we start well before the due date — and earlier still for surveys that need the ship in dry dock — so there is never a gap in validity.

Cost Components

What Makes Up the Cost of Ship Document Renewal

Renewal costs have two separate parts. First, the official charges — non-tax state revenue (PNBP) for issuing or endorsing documents at the rates set by regulation, plus survey fees charged by the competent body, such as BKI for class surveys — which are not set by Nautinix. Second, Nautinix’s fee for monitoring and handling renewals. We propose the fee structure and an estimate after the initial document audit.

What Affects the Cost

  • The number of ships and documents being monitored
  • Which documents are being renewed and whether they need a survey or physical inspection of the ship
  • Where the ship is when the survey or inspection takes place
  • The starting condition of the documents: expired documents or missed surveys need extra work
  • Urgency and how tight the ship’s operating schedule is

Common Problems with Ship Document Renewal

  • Safety certificates not renewed on time — vessel prohibited from sailing
  • Difficult to track renewal schedules for more than 10 document types simultaneously
  • Fines and re-processing costs due to expired documents

How Nautinix Helps

We record and monitor all your vessel document expiry dates, send reminders well before expiry, and immediately process renewals to keep your vessel in full legal compliance status.

Why Choose Nautinix

Why Handle Ship Document Renewal with Nautinix?

  • We track every kind of validity — annual endorsements, survey windows and expiry dates — not just the date printed on the document.
  • One partner for every document: nationality papers, safety and class certificates, business or fishing licences and crew documents.
  • Nothing is renewed without your approval: each reminder comes with the requirements and a cost estimate, and work starts only once you agree.
  • We plan surveys around your operating and docking schedule, so renewals take as few sailing days as possible.
Frequently Asked Questions

Ship Document Renewal FAQ

What is the risk of letting ship documents expire?

Before issuing port clearance (SPB), the harbour master verifies the validity of the ship’s papers under Regulation PM 28 of 2022. One expired or unendorsed certificate is enough to stop the SPB and keep the ship in port. Sailing without an SPB is a criminal offence under the Shipping Law, and lapsed documents often cost more time and money to restore.

Which documents do you monitor?

Every document with a validity period or endorsement schedule: the annual endorsement of the Pas Besar or Surat Laut, safety and pollution-prevention certificates, BKI class, ISM and ISPS certificates where they apply, business licences, the SIPI and SIKPI for fishing vessels, and crew documents such as seafarer’s books and certificates of competency. The list follows your ship type.

Do the Pas Besar and Surat Laut need renewing?

They have no expiry date. Both remain valid while the registration deed is unchanged and ownership has not transferred, but under Regulation PM 39 of 2017 they must be endorsed by the harbour master every year — the step most often missed. If the ship’s particulars or owner change, a new document must be issued instead.

Why monitor a certificate that is valid for five years?

Five-year convention certificates, such as the Load Line Certificate or IOPP, depend on annual or intermediate surveys endorsed on the certificate. Miss a survey window and the certificate can be treated as invalid before its expiry date. That is why we track each certificate’s anniversary date, not just its expiry date.

When should the renewal process start?

As early as practical. For convention certificates, annual surveys can generally be carried out within three months either side of the certificate’s anniversary date, leaving room to fit them around the ship’s schedule. Surveys that need dry-docking must be planned even earlier, and our reminders give enough lead time to avoid a last-minute rush.

Will I be told before a renewal is processed?

Yes. Every reminder includes the requirements, expected timeframe and a cost estimate for that renewal, and we proceed only after you approve. Spending stays under control and you can plan the ship’s schedule around it. Once the document is issued, we send you a copy and update the validity calendar.

What if my ship’s documents have already expired?

Send us copies of what you have. We audit every document, prioritise whatever is blocking port clearance and handle it through our certification, licensing or crew document services. Some cases need an extra survey or a fresh application and take longer than a routine renewal. Once everything is valid, the ship joins the monitoring calendar.

Information is general. Actual document requirements depend on vessel type, GT, operating area, and current regulations.
